The Journal — For Operators

What a ground partner actually does when a road closes

Anyone can sell you a route. The ground partner is who you meet on the day the route stops working. Here is our side of that day.

It starts long before anything goes wrong

A ground partner earns its keep on the ordinary days: routes designed so a closed road is an inconvenience rather than a collapse, two-night stays that give a programme slack, fuel stops and distances checked before the client ever sees the itinerary. When something does go wrong on a route we designed, the fix usually starts from a Plan B that already exists, because the person redesigning your client's day is the person who designed it in the first place.

First: know about it before your client tells you

Our operating rule is simple: the operator hears it from us first. In practice that means our Windhoek team works the problem and the communication in parallel. While the route is being rebuilt, you are being told what happened, what we are doing about it and what your client has been told. There is nothing worse for an operator than learning about a problem in their programme from the client's social media, and our whole communication rhythm is built to prevent exactly that.

The fix itself: one file, all the pieces

This is where the structure of our business matters. The vehicle belongs to our sister company, the transfers to another, the lodge relationships to us. A reroute that in a fragmented supply chain means four phone calls and three invoices is, here, an internal conversation: move the vehicle plan, shift the night's booking, adjust the transfer, update the file. The client experiences a changed plan, smoothly delivered. You experience one call.

What we expect from the operator's side

Two things. A client contact route that works while they travel, so our team can reach them directly when minutes matter. And trust in the judgement call on the ground: when our team says a road should not be driven today, that call comes from people who drive these roads, and it is made for your client's safety and your programme's reputation alike. Everything else, the replanning, the supplier calls, the cost consequences inside the file, is our problem, and we will account for it to you afterwards, in the post-trip report, in full.
